We implemented a Salesforce solution to empower our client with a platform that can be leveraged by many schools/colleges/universities to store their data in one place.
The Salesforce platform is flexible and extensible as needed to manage the complex functionalities of any educational body. The data that was stored in the Salesforce org included complete information about students, parents, faculties, and various departments.
The project also included the integration of Salesforce with AdmitHub, FormAssembly, Calendar Anything, and Workato.
The project provided solutions for the admission process, student experience, affiliations, performance reports, and fees management all under a single view, along with managing the grants and fund aids coming in from various resources for the betterment of the school.
ABOUT THE CLIENT
Challenges
The client is a social venture headquartered in Oakland, CA. They partner with Nonprofit colleges, universities, and high schools to operate MicroCollege pathway programs.
The client runs college pathway programs for low-income, college-bound students who are college-capable but not yet college-ready.
The mission of our client was to help students to complete up to two years of college classes at no cost and provide them with intensive coaching and support until they earn their college degrees and begin professional careers.
- To manage the admission details of the students and to maintain the new admission records separately.
- To maintain the student details along with all the affiliations and integration with AdmitHub.
- To gather data from FormAssembly forms and store them as appropriate records in Salesforce.
- To keep track of the student’s relationships with their parents.
- To manage the classes, subjects, courses, and syllabus in the most simplified and efficient way.
- To maintain students’ performance reports and percentages throughout.
- To manage and allocate the fund aids and grants coming in for the betterment of the school.
OUR SOLUTION
- Created a solution by using the Salesforce lead object to manage the new admission details.
- Used the Salesforce contact object to manage the entire student details.
- Used the Salesforce contact object to manage the entire parent details.
- Used the Salesforce account object to manage the school details and affiliations.
- Managed the classes, subjects, and courses using the Salesforce custom object feature.
- Created the fields and relationships to achieve the desired functionalities.
- Used FormAssembly managed package to gather form data from Website and other sources to Salesforce.
- Used Apex, Batch Apex, and Apex Triggers to Integrate with Admit Hub for marketing strategy.
- Used Workato for Integration with Zoom, Google Classroom, and other third-party applications.
- Created a Community for students to log in and view their respective details like displaying their grades, and submitting documents.
- Created a Community for teachers to view their student details and submit documents for those students.
- Created Lightning components to display FormAssembly Form in the community.
- Used Calendar anything to display Calendar on the community to different students with proper campaign/event records from Salesforce.
